Ultimate Techniques for Organizing Documents and Information
Effective ways of organizing information enable you to make your dreams come true

Manual Ways:

- Divide a desk into four sections.  Strictly follow the rules for creating summaries and destroying original documents after a certain period of time.

- Use manual searches based on a double-index method

- Organize all information by using one notebook and one red-ink ballpoint pen.  Carry around in a file folder those documents that are expected to be used during each month.


Digital Ways:

- Classify e-mail into categories and store and share them on online bulletin boards.  Automatically sort e-mail sent to cell phones.

- Use four e-mail addresses skillfully.  Use the same title for e-mail and folders.  Divide a PC’s desktop display into four areas and categorize applications and files.

- Sort information on the Internet by using blogs.  Make full use of desktop searches.

- Open several websites by using a Tab Browser.  Organize information easily by using “Kami Copi.”

- Abandon everything, including documents, e-mail, and business cards. Stand all day long at work

- Store documents in envelope files and conduct searches using electronic databases

- Use the Free Address system to clear off the top of your desk.  Place the “in-house police” to check once a week whether you are keeping your workplace neat and tidy.

Useful Techniques for Searching on the Internet When You Do Research, Prepare Documents, and Make Rounds

Preparation:

- Adjust your browser so that you can search using “Google Toolbar & Desktop Search”


Research:

- Search by keywords that are likely to be found on the website that contains the information you are looking for

- Research the reputation of companies or products by narrowing your search to target websites.  Use search words input by Internet users for marketing.


Document Preparation:

- Use Google when you encounter Chinese characters that you cannot pronounce or input from your keyboard.  Look for websites that provide easy-to-understand explanations of technical terms.

- What shape?  How does that person look?  Google’s image search gives you an immediate answer to such questions.


Making Rounds:

- Do some preparatory research before you take action; this way, you can be more efficient
